Every vehicle on file

License, insurance and service dates for each vehicle.

Fuel and repairs logged

Fuel, tires and repairs booked to each vehicle.

Cost per contract

Trips and costs grouped by customer contract.

Drivers paid correctly

Salaries, trip allowances and overtime on payroll.

What it does

The fleet, the trips and the books.

Every liter, repair and trip lands on the vehicle and the contract it served, so you see which routes earn and which cost.

Fleet records

Each vehicle recorded with plate, chassis number, license and insurance dates, and depreciated as a fixed asset.

Fuel and maintenance logs

Fuel fill-ups, odometer readings, services and repairs logged per vehicle, with maintenance schedules so nothing is missed.

Trips and delivery runs

Delivery trips planned with driver, vehicle and stops, and each trip recorded against the customer and the contract.

Job costing per contract

Each contract or route is a project, so fuel, tolls, driver pay and repairs land on it and its margin shows every month.

Contract billing and e-invoicing

Monthly contracts invoiced on schedule and per-trip work invoiced from completed trips, as Egyptian e-invoices or ZATCA Phase 2 compliant invoices.

Drivers on payroll

Drivers paid through payroll with trip allowances, overtime and deductions, with the Employee Portal free for each of them.

Tenders and contract renewals

Tenders, rate quotes and renewals for every customer tracked in the pipeline, with WhatsApp follow-up from the same record.

GPS systems through the REST API

Prospera does not track vehicles live. Your GPS or telematics provider can connect through the REST API to bring kilometers and trip data onto the vehicle record.

At the depot

Out on time. Back on the books.

Each trip carries its driver, vehicle and stops, and its fuel and costs post to the contract it served.

Fleet view

Which vehicles earn, and which cost.

Operations sees each vehicle's trips, fuel and next service. Finance sees the same vehicles as cost and revenue per contract, before the month closes.

Questions

Good questions.

Not answered here? The free systems review covers it with your own processes.

Do you track vehicles live on a map?

No. Prospera does not do live GPS tracking. Your GPS or telematics provider can connect through the REST API, which is included, so kilometers and trip data can reach the vehicle record.

How is cost per contract worked out?

Each contract or route is a project. Fuel, tolls, driver costs and repairs are booked to it, and its invoices are raised from it, so the margin is current every month.

Can we keep spare parts and tires in stock?

Yes. Parts, tires and oil are stock items in your workshop warehouse, issued on the repair of the vehicle that used them, with reorder levels so you do not run out.

Do drivers need a user?

No. Drivers who only check in, request leave, submit expenses and see payslips use the Employee Portal, and payroll and the portal are free for everyone.

What is included?

Everything: fleet records, fuel and maintenance logs, delivery trips, payroll and billing, plus job costing per contract and CRM.
