Design, plant and bill by milestone.

Each site runs as a project with milestone billing, plants and materials sit in stock, and subcontractors are costed against the project they worked on.

What gets in the way

The problems we hear most.

01

Milestones billed late

Phases finish on site, but the invoice waits for paperwork, and cash runs short on long projects.

02

Plants lost between nursery and site

Trees and shrubs leave the nursery without a record, so losses and transfers are never costed.

03

Subcontractor costs arrive late

Irrigation and hardscape subcontractors bill weeks after the work, and only then does the real margin show.

How it works

A day in Prospera.

DesignDesign fees and the build contract are quoted, then the project is set up with milestones and a budget.
ProcurePlants, soil and irrigation parts are bought, received into stock and transferred to the site when needed.
BuildSubcontractors and site crews work against the project, and their costs post as bills and timesheets arrive.
BillEach milestone is invoiced when the client signs off, with advance payments deducted.

What is included

Everything you need, on one record.

  • Projects with milestones and budgets
  • Milestone billing with advances deducted
  • Plants by species and size as item variants
  • Stock transfers from nursery to each site
  • Subcontractor bills charged to the project
  • Site crew payroll and the Employee Portal, free
  • Aftercare contracts as recurring invoices
  • Budget against actual for each project

Good to know: Prospera does not replace your CAD or design software; drawings stay in those tools, with final versions kept in the document drive.

Questions

Asked by owners like you.

Can we run maintenance contracts after handover?

Yes. Monthly or quarterly aftercare runs as a recurring invoice, and each visit can be logged as a task or a work order.

What happens when plants die or are replaced?

Losses are written off from stock with a reason, so replanting cost shows on the project or as a nursery loss.

Do site workers need a user?

No. Site crews use the free Employee Portal for payroll, attendance and leave on their phone. Only staff who manage projects and stock need users.
